Division Project Coordinator - Auburn, MA

R.H. White is a third-generation, family-owned construction management and general contracting company that has been in operation for more than 95 years. It has five primary business divisions building construction, construction services, mechanical construction, utility construction and water utility management and operations. In addition to its Auburn, MA corporate headquarters and training center, the company also has multiple locations throughout New England.
Provide business and administrative support to facilitate the planning, coordination, and tracking activities of designated projects to ensure that goals and objectives are accomplished within prescribed time frame and funding parameters.
Duties
Oversees/processes day to day administrative tasks on Division's contracts, including, but not limited, to RFIs, OSHA 10, AIAs, Change Orders, certified payroll, lien waivers, submittals, schedules, construction drawings and purchase orders.
Coordinates cost reporting creates spreadsheets and graphs, compiles reports, copying and faxing.
Sorts and distributes mail; prepares outgoing mail and packages.
Gather and compile monthly Forward/Backward Reports.
Helps in the preparation of P3 documents and Peer Reviews.
Conducts research when needed to assign job numbers and cost code information to unmarked payables and packing slips.
Reviews invoices for accuracy and completeness before sending to PM for final approval.
Schedules and coordinates meetings and other events for the division
Composes letters, reports and memos for supervisor's review and signature.
Performs additional assignments as necessary to support the division.
Requirements
Bachelor's degree in related field.
Three to five years of experience in construction administration, design, finance, and management desirable. Education may be substituted for experience.
Strong analytic skills and the ability to recognize cost vs. invoice recognition.
Possesses a disciplined attitude regarding processes and procedures.
Good communication skills required; good interpersonal and organizational skills mandatory.
Must be proficient in Microsoft Office and Bluebeam. Experience with one or all of the following: Coins, Timberline, or SureTrak/Microsoft Project.
Position has continual contact with field supervisors, management, project staff and external customers. Must be courteous, professional, and diplomatic.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
